Writing Grants
Thanks for your interest in applying for a grant.
Be sure to read the following Board Policies:
Please consider the following questions as you prepare your application and discuss
with your Dean.
1. Will faculty or staff be paid as part of the grant?
- If yes, how will that pay occur: stipends, adjunct replacement, overload, other.
If yes, be sure to include the fringe rate as part of your application. The approved fringe rate is 15.65%.
2. Will students be paid as part of the grant?
- If yes, they can only be paid at an hourly rate. They cannot be paid a stipend for their work.
3. Are indirects available as part of the grant?
- If yes, the Peru State rate is 8%. Generally, indirects are used to offset administrative costs of the grant and are not approved for use by the grant.
4. Is there a cash match required from Peru State?
- If yes, what will that be used for and what is the source of those funds?
5. Is there an in-kind match requirement?
- If yes, be ready to identify the in-kind match and its value.
6. Will there be a commitment from Peru State past the period of the grant?
- If yes, what will be the source of the funding for this maintenance of effort?
- If Yes, your grant may require prior approval by the Board of Trustees. Be sure to consult with the VPAA as soon as possible if this is the case.
Timeline
All grant applications or acceptances must be received by the VPAF following this schedule. Those working on grants must plan ahead so the College can meet the requirement of Board review/approval prior to any grant submission or acceptance. Reminder – only the VPAF or President can sign a grant submission or grant acceptance.
For Applications/Acceptances after November 15:
Appropriate Board of Trustees form (Application or Acceptance) to VPAF: Sept. 15
For Applications/Acceptances after January 15:
Appropriate Board of Trustees form (Application or Acceptance) to VPAF: Nov. 15
For Applications/Acceptances after March 15:
Appropriate Board of Trustees form (Application or Acceptance) to VPAF: Jan. 15
For Applications/Acceptances after June 15:
Appropriate Board of Trustees form (Application or Acceptance) to VPAF: April 15
Application Process
After discussing the previous questions with your Dean, proceed to complete the following:
- Peru State College Grant Application form
- Be sure to obtain all signatures required by the form.
- Board of Trustees Grant Request Form
Acceptance Process
If you are awarded the grant, proceed to complete the following. Note: It is quite likely the College will have to sign some kind of agreement with the granting agency. Only the VPAF and President are authorized to sign agreements.
- Peru State College Grant Acceptance form
- Be sure to obtain all signatures required by the form.
Important Notes
- Only the VPAF can sign documents with external parties. These include memorandum of agreements, agreements, or contract. Faculty should not sign these documents.
- All additional documents received by the grant submitter MUST be forwarded to the VPAF immediately. The VPAF will review and distribute the documents to other reviewers as necessary
- A copy of the Grant Acceptance Form and signed copies of all accompanying acceptance documents must be forwarded to the VPAA Office Assistant for retention/filing.
